CORE PURPOSE:
To serve a central role in supporting postgraduate research student success through effective and efficient administration of databases.
CORE FUNCTIONS:
1. Administration of Ethical Clearance Applications
· Processing EC applications
· Allocation to EC panel members
· Setting up the EC meeting - invitation/ venue/ refreshments, etc.
· Agenda for EC Meeting
· Minutes for EC Meeting
· *Reporting on EC applications/ Stats - Metrics TBD
2. Research Engage
· Assist with the recruitment and onboarding plan
· Collate application documents
· Set up panel review meeting
· Communicate the outcome to the applicant
· Set up inductions
· Collate and file the applicant's signed contract and documents
· *Reporting on stakeholder Stats - Metrics TBD
4. Events and General Meetings
· Organise virtual and in-person induction sessions
· Organise stakeholders' consultative workshops /sessions /events.
GENERAL ADMINISTRATION
· Timeously attend to all queries (email, telephonic, face-to-face).
· Effective management of admin databases
· Follow up with candidates that have not attended induction sessions
· Follow up on candidates that have not returned signed contractual agreements.
· Email appropriate guidelines, templates and resources to the team and independent stakeholders as required.
· Assistance with ad-hoc administrative tasks as requested by management.
ASSISTANCE WITH ADHOC EVENTS
· Assist with Research initiatives and/or events as required (e.g. research committee, student engagement sessions, independent stakeholder engagement sessions)
· Assist with MANCOSA events as required (e.g. support during Online Summative Assessments, allocated duties at Graduation ceremonies)
Minimum requirements
QUALIFICATIONS:
· An undergraduate degree or diploma
EXPERIENCE AND SKILLS
· At least 12 months administrative experience.
· Experience within a higher education institution is preferable.
· Experience with stakeholder management would be ideal.

· Strong administration skills with proficiency in Microsoft Office (Excel, Word, Power Point, Outlook)
· Excellent communication skills (written and verbal)

· Time management skills and ability to adhere to deadlines

ADDITIONAL REQUIREMENTS
· May be requested to work overtime or on weekends where required due to operational requirements
