Job description

JOB PURPOSE: To provides administrative and operational support to the Manager: Governance and Legal Services, particularly in the areas of legal services, governance structures, compliance, and records management. The role includes supporting the institution's legal and governance functions, maintaining the governance matrix, and providing secretariat services for institutional committees.

CORE FUNCTIONS INCLUDE:

 Legal and Governance Administrative Support

 

  • Support implementation and maintenance of legal frameworks and governance tools (QMS, Governance Matrix).
  • Assist in policy reviews, audits, and compliance checks.
  • Maintain up-to-date legal and governance documents (contracts, policies, SOPs, TORs).
  • Coordinate policy development and ensure proper dissemination.
  • Collaborate with Monitoring & Evaluation to maintain institutional governance data.

 

Secretariat and Meeting Coordination

 

  • Provide secretariat support: agendas, minutes, and document distribution.
  • Coordinate logistics for meetings and ensure follow-up on action items.
  • Monitor the Student Disciplinary and Grievances accounts.
  • Support Student Disciplinary and Grievance Committees with documentation, recordkeeping, archiving and general logistic support.

 

Communication and Reporting Support

 

  • Facilitate communication on legal and governance matters with stakeholders.
  • Assist in drafting reports and governance-related documentation.

 

Records and Document Management

 

  • Maintain organized filing systems.
  • Ensure accurate record-keeping of policies, procedures, and legal documents.

 

Minimum requirements

Essential qualification 

  •  Bachelor’s Degree or Advanced Diploma in Legal or Paralegal Studies, Business Administration, or a related field.

Essential experience

  •      2 years of experience in an administrative role, preferably in a higher education or legal environment.
  •      Experience within a corporate environment would be an added advantage
  •      Experience within a higher education institution would be a great asset
