Quality Consultant CORE PURPOSE The core purpose of the job is to uphold minimum quality standards across all institutional departments by performing a wide range of assurance and advisory services to the institution in support of effective governance, accountability and performance as well as maintaining records and providing support to the Monitoring and Evaluation Department in order that the department may operate efficiently.
Job description

CORE FUNCTIONS

  • Establish an annual QMS plan in accordance with the institutional academic calendar.
  • Schedule quality assurance activities such trainings, surprise visits, reviews and quality audits as per the QMS plan.
  • Facilitate training for all staff including the regions regarding the QMS, it’s purpose and relevant expectations regarding the staff roles and responsibilities to cascade QMS to all departments.
  • Monitor and provide support in the implementation of activities in the academic and operational calendar for achievement of intended outcomes
  • Provide analysis and feedback report on the implementation of calendar activities for continuous improvement.
  • Monitoring the implementation of planned quality improvement initiatives by conducting periodic reviews according to the planned improvement dates
  • Participate in and monitor governance structure activities to ensure adherence to guidelines and implementation of committee resolutions.
  • Track and facilitate the review and updating of institutional documents such as policies, procedures, rules, guidelines, codes and plans.
  • Upload and maintain the most updated institutional documents in the QMS for record keeping and audit purposes.
  • Facilitate the implementation of recommendations from internal audit reports and risk implementation plans through consulting engagements for continuous improvement.
  • Promote a culture of quality and service levels of MANCOSA within all departments and regions of the institution by establishing quality forums, impromptu trainings and walkabouts
  • Forster improved inter-departmental and regional alignment by hosting indabas.
  • Foster improved working relationships with regional representatives through continuous liaising to ensure a high standard of quality and excellence.
  • Conducting site visits to facilitate quality improvement and training with the regional staff.
  • Reviewing and providing feedback on regional report submissions in accordance with internal and external quality assurance requirements.
  • Document site visit dates and requirements inclusive of accommodation/entertainment for panel.
  • Participate in preparation for site visits by providing assistance for the collation, review and editing of site visit documentation; logistics planning as well as execution of the site visit itself.
  • Contribute in the collection and analysis of information and confirming that the data is accurate, and that the requirements of appropriate regulatory body are being met.
  • Assist in preparing the panel base room with all site visit documents and equipment requirements.
  • Liaise with the relevant stakeholders and ensure that the logistics for the site visit are in place.
  • Participate in monitoring the implementation status of agreed recommendations as applicable to regulatory requirements
  • Assisting in executing audit procedures when necessary.
  • Filing of audit documents such as audit request, working papers, audit reports, audit responses, audit evidence and reference documents.
  • Participate in monitoring the implementation status of agreed recommendations.
  • Provide advice, at intervals, to the internal audit team regarding areas of concern identified within processes.
  • Filing of departmental risk and control matrices
  • Participate in reviewing institutional documents including but not limited to policies, procedures, website content and other materials for stakeholder consumption
  • Generating departmental reports at specific annual intervals.
  • Organising and preparing documents for meetings, presentations and training interventions of any nature
  • Collating information and generates meeting packs, and records minutes of the meetings.
  • Engaging in special projects.
  • Tracking departmental supplies and make orders when necessary
  • Prepare and submit payment documentation for Monitoring and Evaluation related invoices.




Minimum requirements

MINIMUM JOB REQUIREMENTS

  • Bachelors degree
  • Experience in the higher education sector in the area of quality assurance
  • Knowledge of Higher Education reporting systems
  • Advanced working knowledge of technology tools such as Excel, Word, PowerPoint and Outlook.
  • Ability to understand policies, procedures and rules across the institution
  • Computer literacy
  • Communication skills

SPECIAL CONDITIONS ATTACHED TO THE JOB

  • After hours and Saturday work may be required.
